Forever Pawtraits Policies home Ordering & Proofing At Forever Pawtraits, every piece we create is unique and individually crafted. Because our portraits are highly customized, we begin the process only after receiving your submitted photo(s). Within approximately seventy-two (72) hours, our design team will prepare a digital proof for your review. This proof represents our professional interpretation of your photo in our signature watercolor-inspired style. We ask that you review your proof carefully. Your approval is required before printing can begin. This step is important because it ensures that you are comfortable with the likeness, styling, and personalization details. Minor adjustments (such as subtle color changes or small refinements) are always welcome at no additional charge. Requests for major alterations, entirely new photo submissions, or significant re- creations may require additional design fees. These fees will be communicated clearly and must be approved prior to continuing production. By approving the proof, you acknowledge that the artwork meets your expectations. Proof approval is considered final and binding. Once approved, no further changes can be made, and the order may not be cancelled. This policy allows us to maintain consistency and efficiency in production, and it also protects the time and craftsmanship that go into every portrait.
Customizations Our portraits are created in a consistent watercolor-style aesthetic, designed to be timeless, elegant, and suitable for display in any home. Within this framework, we invite you to make certain custom requests. These may include background colors, simple styling adjustments, or small details that help the artwork reflect your pet’s personality. All customization requests should be included at the time of order or communicated before proof approval to ensure they are incorporated into the design. The success of your portrait depends heavily on the quality of the photo you provide. Clear, well-lit, high- resolution images yield the best results. While our team is skilled at working with a variety of photos, we cannot guarantee satisfaction if the source image is dark, blurry, or low quality. By placing an order, you agree that you are responsible for providing usable photographs and that Forever Pawtraits cannot be held liable for limitations caused by the submitted image. By submitting a photo, you also affirm that you own the rights to the image or have obtained the appropriate permissions. You grant Forever Pawtraits a limited license to use the image solely for the purpose of creating your artwork and fulfilling your order. This license does not transfer ownership, and you retain all rights to your original photo.
Shipping At Forever Pawtraits, we take great care to ensure that every order arrives safely, securely, and in a timely manner. Because each portrait is custom-made and proof-approved before printing, shipping timelines begin only after you have approved your proof. Processing Times Once you approve your digital proof, your portrait will be placed into production. Typical production times are three (3) to seven (7) business days. During high-volume periods (such as holidays or promotional events), processing times may be extended. Should an unusual delay occur, we will notify you promptly by email. Standard Shipping Domestic orders within the United States are typically delivered within three (3) to ten (10) business days after dispatch. All shipments include tracking information, which will be provided by email once your package leaves our studio. Please allow up to twenty-four (24) hours for tracking updates to appear in the carrier’s system. International Orders International shipping times vary by destination and are subject to customs clearance procedures that are outside of our control. Customers are solely responsible for all duties, taxes, and import fees assessed by their local customs office. Forever Pawtraits is not liable for delays caused by customs inspections or international carriers.
Shipping Liability & Risk of Loss All orders are carefully inspected and packaged to prevent damage during transit. Once a package is transferred to the carrier, title and risk of loss pass to the customer. Forever Pawtraits cannot be held responsible for shipping delays, missed delivery windows, or losses caused by the carrier, weather conditions, labor strikes, customs delays, or other events beyond our direct control. Address Accuracy It is the customer’s responsibility to provide accurate and complete shipping information at the time of order. Forever Pawtraits is not responsible for orders lost, delayed, or undeliverable due to incorrect or incomplete addresses provided by the customer. If a package is returned to us due to an addressing error, the customer will be responsible for reshipment costs. Damaged Packages If your package arrives visibly damaged, please document the condition immediately with clear photographs of the packaging and product. Contact us within seven (7) calendar days of delivery so that we may investigate and, if appropriate, issue a replacement at no cost to you. Claims submitted outside of this time frame, or without adequate evidence, may not be honored. Carrier Responsibility We partner with trusted national and international carriers to deliver our products. Once an order has been shipped and a tracking number has been provided, any questions regarding transit delays, misdeliveries, or lost packages must first be directed to the carrier. Forever Pawtraits will, however, provide reasonable assistance in helping to resolve carrier issues whenever possible.
Cancellation & Refund Policy At Forever Pawtraits, every portrait we create is a one-of-a-kind work of art, made to order and customized to the photo and instructions you provide. Because our products are personalized and cannot be resold or repurposed, cancellations and refunds are limited. These policies are designed to balance fairness to our customers with the protection of our team’s time, labor, and resources. Cancellation Before Proof Creation Orders may be cancelled at any time prior to the creation of a digital proof for a full refund. If you realize you have made an error in your order or wish to cancel, please contact us immediately. Once our design team has begun working on your proof, resources have been committed, and your order is no longer eligible for an automatic full refund. Cancellation After Proof Creation If you choose to cancel an order after your proof has been prepared but before you have approved it, cancellation requests may be subject to an administrative fee. This fee covers the time, labor, and resources already expended to create your personalized proof. The exact fee will depend on the scope of work completed and will be deducted from your refund. No Cancellations After Proof Approval Once you have approved your proof, the design is considered final and production will begin. At this stage, the order is deemed non-cancellable and non-refundable. Approval of the proof serves as your confirmation that the design meets your expectations, and Forever Pawtraits will not accept responsibility for any subsequent dissatisfaction with artistic choices, styling, or design once the order has moved into production.
Refunds on Completed Orders Because each portrait is created specifically for you, we do not offer refunds on completed and shipped portraits except in the case of verified defects or damage incurred during shipment. Dissatisfaction with the artistic style, size, or subjective expectations of the artwork does not qualify as grounds for a refund once the proof has been approved and production completed. Damage or Defect If your portrait arrives damaged or defective, you must notify us within seven (7) calendar days of receipt. We require clear photographic documentation of both the damage to the product and the condition of the packaging. Upon verification, we will issue a replacement portrait at no additional cost. Refunds in place of replacements will only be considered in exceptional circumstances and remain at the sole discretion of Forever Pawtraits. Refund Processing Approved refunds, when applicable, will be processed back to the original payment method within ten (10) business days of confirmation. Processing times may vary depending on your financial institution. Discretionary Rights Forever Pawtraits reserves the right to deny or limit refunds and cancellations if abuse of these policies is suspected. We also reserve the right to make exceptions, on a case-by-case basis, where extenuating circumstances exist. All decisions regarding refunds or cancellations are made in good faith, but are final and binding.
Returns & Replacements At Forever Pawtraits, every portrait is individually crafted, proof-approved, and made to order. Because each piece is personalized and created exclusively for the client, we cannot accept returns for reasons of preference or change of mind once a portrait has been printed and shipped. This policy ensures fairness to both our customers and our design team, who invest significant time and resources into each creation. General Return Policy Custom portraits are non-returnable and non-refundable once they have entered the production stage and/or been shipped. Returns will not be accepted due to dissatisfaction with artistic style, composition, or design after proof approval, as approval constitutes final acceptance. We cannot accept returns based on subjective expectations that differ from the proofed and approved artwork. Damaged or Defective Products While we take the greatest possible care in production and packaging, unforeseen issues in transit may occasionally occur. If your order arrives damaged or defective, we will gladly replace it under the following conditions: Notification Timeline: Customers must notify Forever Pawtraits in writing within seven (7) calendar days of delivery. Documentation Required: Customers are required to provide clear photographs of the damaged portrait and the original shipping packaging (including any visible carrier damage).
3. Verification Process: Once your claim is received, our team will review the evidence provided. If damage or defect is confirmed, we will issue a replacement portrait at no additional cost. Please note: claims submitted after seven (7) days from delivery, or without adequate documentation, may not be eligible for replacement. Replacement Process Approved replacements will be produced and shipped using the same specifications as the original order (size, framing, and design). Replacements are shipped at no additional cost to the customer, using the same shipping method as the original order unless otherwise agreed upon. Production times for replacements are generally three (3) to seven (7) business days after claim approval, followed by standard shipping timelines. Frame-Specific Replacements Frames are carefully inspected prior to shipping. In the event that a frame arrives damaged: A replacement frame of equal value will be sent at no cost. In cases where the frame style is discontinued or unavailable, Forever Pawtraits reserves the right to substitute with a comparable frame of equal or greater quality. Non-Covered Situations Forever Pawtraits cannot be held responsible for: Damage occurring after successful delivery due to mishandling, exposure to water, heat, or other environmental factors outside our control. Damage caused by improper unpacking or attempts to alter the artwork or frame. Dissatisfaction with personal aesthetic preferences once the proof has been approved.
Refunds in Place of Replacements Our standard policy is to provide a replacement portrait for damaged or defective products. Refunds in place of replacements will only be considered in exceptional circumstances and are granted solely at the discretion of Forever Pawtraits. Where refunds are granted, they will be processed to the original payment method within ten (10) business days of approval. While returns are limited due to the custom nature of our work, our replacement process is designed to give peace of mind.
